Snowline Hospice is a nonprofit, community-based organization dedicated to meeting the unique physical, emotional, and spiritual needs of those who are nearing the end of life's journey. Our goal is to enhance the living, comfort the dying, and support the grieving with compassion and dignity. We are currently seeking an Administrative Assistant  - Float to join the team in our Diamond Springs office location.  This is a full-time, benefited position working with a caring & compassionate team of professionals. 

Summary:

This position floats to various departments within our organization and provides administrative support to multiple clinical areas.  This position also provides the primary backup support to our front desk Receptionist.

Primary functions include:

  • Provide administrative support to the Medical Director, Nurse Practitioner and to different clinical departments
  • Provide primary backup to the Receptionist - answering phones, greeting visitors, and mail collection/distribution
  • Organize and maintain Medical Director & Nurse Practitioner patient visit schedules
  • Responsible for preparation of documents required for interdisciplinary team meetings, prepares meeting room and scribes during the meetings
  • Perform data entry that may include, but is not limited to occurrence reporting and quality assurance reporting.
  • May perform medical records duties. This may include assembling new patient charts, closing chart upon patient's death/discharge, file maintenance, track submission, receipt and filing of Plans of Care, patient medical history & physicals, orders, certifications of terminal illness, scan and send Medical Records as needed
  • In compliance with regulations, create and revise departmental related forms and maintain current forms supply
  • Cross trained to cover the Referral Coordinator job duties in their absence
  • Demonstrate positive behavioral characteristics such as initiative, cooperation, adaptability, dependability, and flexibility
  • Demonstrate open, honest and direct communication for promotion of a positive and supportive work environment
  • Communicate effectively and in a professional manner with staff, clients, and visitors
  • Maintain patient/family confidentiality

Qualifications:

  • Four years general office and administrative support experience OR two years general office and administrative support plus an Associate Degree in Business or related field
  • High School graduate or GED
  • One year experience in a medical office, hospital or medical facility
  • Medical terminology knowledge strongly preferred
  • Extensive experience using Microsoft Word and Excel
  • Excellent phone skills
  • Ability to scribe team meeting notes with speed and accuracy on a laptop computer or tablet
  • Ability to perform detailed work in a timely manner with accuracy and thoroughness
  • Demonstrated excellence in both written and verbal communication skills
  • Possession of valid California driver license, access to a reliable automobile and minimum state required auto insurance
